The Special Education Office Secretary provides clerical and administrative support to the Special Education Department. This position serves as a primary point of contact for staff, families, and visitors while maintaining accurate, timely, and confidential student records and documentation.

Essential Duties and Responsibilities
  • Answer phones, greet visitors, screen calls, and direct inquiries appropriately.
  • Maintain accurate and confidential special education records.
  • File IEPs, evaluations, and other required documentation promptly.
  • Mail evaluations and other special education correspondence.
  • Update student enrollment, demographic, and program information in the district's student information system.
  • Process transfer requests and assist with documentation for student move-ins and move-outs.
  • Assist with Disability Determination paperwork and related documentation.
  • Assist in gathering information and submitting required reports to DESE
  • Maintain the Special Education calendar and schedule meetings as needed.
  • Monitor paperwork and communicate with special education teachers regarding missing or incomplete documentation.
  • Order materials and supplies for the Special Education Department.
  • Maintain organized files, records, calendars, and department documentation.
  • Perform other clerical and administrative duties as assigned by the Special Education Director.
  • Assist with breakfast and lunch duties.
Qualifications and Skills
  • High school diploma or equivalent required; prior office, secretarial, or school experience preferred.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks, meet deadlines, and work independently.
  • Proficiency with computers, email, calendars, and standard office software.
  • Ability to learn and effectively use district systems and special education software.
  • Ability to maintain strict confidentiality regarding student information.
  • Professional, dependable, and able to work effectively with students, families, staff, administrators, and outside agencies.
